Privacy Policy

KinetiqFlow LLC ("KinetiqFlow," "we," "our," or "us") operates the KinetiqFlow Pay platform at pay.kinetiqflow.ai. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our services. By using KinetiqFlow Pay, you agree to the practices described here.
1. Information We Collect
Information You Provide Directly
- Account registration details (name, email address, password)
- Business and organization information (company name, address, phone number)
- Customer data you enter into the platform (customer names, emails, phone numbers, addresses)
- Payment method details — processed directly by Stripe; KinetiqFlow does not store raw card numbers
- Job, invoice, quote, and maintenance contract details you create
- Communications you send to our support team
Information Collected Automatically
- Log data: IP address, browser type, pages visited, timestamps
- Device information: operating system, screen resolution, device type
- Usage data: features used, actions taken, session duration
- Cookies and similar tracking technologies (see Section 9)
Information from Third-Party Services
When you connect third-party integrations, we may receive data from those services as described in Section 5 (QuickBooks Online Integration).
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the KinetiqFlow Pay platform
- Process payments and manage billing through Stripe
- Send transactional communications (invoices, receipts, appointment reminders via SMS/email)
- Respond to your support requests and improve our services
- Detect, prevent, and investigate fraud, security incidents, or abuse
- Comply with applicable law and legal obligations
- Send product updates and administrative notices (you cannot opt out of service-essential communications)
3. No Sale of Personal Data
KinetiqFlow does not sell, rent, trade, or otherwise transfer your personal information or your customers' personal information to any third party for monetary compensation or other valuable consideration. This prohibition applies equally to data obtained from or through QuickBooks Online (Intuit) and any other third-party integration.
We do not use your data for targeted advertising, cross-context behavioral advertising, or any profiling unrelated to the services you have requested.
4. Data Sharing and Disclosure
We share information only in the following limited circumstances:
Service Providers (Sub-processors)
We engage carefully vetted sub-processors to help operate our platform. Each is contractually bound to process data only as directed by us and to implement appropriate security measures.

Legal Requirements
We may disclose your information if required to do so by law, valid legal process, or to protect the rights, property, or safety of KinetiqFlow, our users, or the public.
Business Transfers
If KinetiqFlow is involved in a merger, acquisition, or asset sale, your information may be transferred subject to the same privacy protections described in this policy. We will notify you via email or prominent in-app notice before any such transfer takes effect.
5. QuickBooks Online Integration
This section specifically addresses our integration with Intuit's QuickBooks Online ("QBO") platform and applies to all users who connect KinetiqFlow Pay to their QuickBooks account.
Data Accessed from QuickBooks Online
When you authorize the QuickBooks Online integration, we access the following data from your QBO account solely to provide the invoice synchronization feature:
- Customer names and contact information (to match or create QBO customers)
- Invoice data you have created in KinetiqFlow Pay (for sync purposes only)
- QuickBooks company ID (Realm ID) for API authentication
- OAuth access and refresh tokens (stored encrypted, used only for API calls on your behalf)
How We Use QuickBooks Data
- To sync invoices you create in KinetiqFlow Pay into your QuickBooks Online account
- To create or match customer records in QuickBooks that correspond to your KinetiqFlow customers
- To record payments in QuickBooks when invoices are marked paid in KinetiqFlow Pay
- For no other purpose — QBO data is never used for marketing, advertising, analytics unrelated to operating the service, or shared with parties other than those listed in Section 4
No Sale of Intuit / QuickBooks Data
KinetiqFlow does not and will not sell, share for advertising purposes, or otherwise monetize any data obtained from Intuit's QuickBooks Online APIs. This data is used exclusively to provide the accounting synchronization feature you requested. We do not use Intuit data to build products or services that compete with Intuit.
Revoking QuickBooks Access
You may disconnect the QuickBooks Online integration at any time from Settings → Connections → QuickBooks. Upon disconnection:
- Your OAuth access and refresh tokens are immediately deleted from our systems
- No new API calls will be made to your QuickBooks account
- Historical invoice data already synced to QuickBooks remains in QuickBooks and is not affected
- Invoice sync history stored in KinetiqFlow (sync status, QBO invoice ID) is retained as part of your account data until account deletion
You may also revoke access directly in your Intuit account at accounts.intuit.com.
QuickBooks Data Retention After Disconnection
- OAuth tokens: deleted immediately upon disconnection
- Sync metadata (QBO invoice ID, sync status): retained with the invoice record until account deletion
- Upon account deletion, all QBO-related data is purged within 30 days
6. SMS Communications
KinetiqFlow Pay uses SMS (via Twilio) to send job notifications, appointment reminders, invoice links, and status updates to merchants and their customers.
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All opt-in data and SMS consent information will not be shared with any third parties.
- Opt-Out: Reply STOP to any message to unsubscribe. You will receive a confirmation and no further messages.
- Help: Reply HELP or email support@kinetiqflow.ai for assistance.
- Rates: Message and data rates may apply. Message frequency varies.
- Carriers are not liable for delayed or undelivered messages.
7. Data Retention
- Account and profile data: retained until account deletion
- Business records (invoices, jobs, customers): minimum 7 years for tax and financial compliance
- Log and diagnostic data: 90 days
- Deleted account data: permanently purged within 30 days of account deletion (subject to legal hold)

8. Security
- All data encrypted in transit via TLS 1.2+
- Data at rest encrypted using AES-256 (Supabase managed)
- Production access restricted to authorized personnel with MFA
- OAuth tokens stored encrypted
- Real-time crash and anomaly monitoring via Sentry
- Regular security reviews and dependency audits

9. Your Rights
- Access — request a copy of your personal data
- Correction — request correction of inaccurate data
- Deletion — request deletion (subject to legal retention requirements)
- Portability — receive your data in a machine-readable format
- Objection / Restriction — limit certain processing activities
- Withdraw Consent — where processing is consent-based, withdraw at any time
Email privacy@kinetiqflow.ai to exercise any right. We respond within 30 days.
11. Children's Privacy
KinetiqFlow Pay is not directed at anyone under 18. We do not knowingly collect data from children. If we discover such data was collected, we will delete it promptly.
12. Changes to This Policy
We will update this page when this policy changes, revising the "Last Updated" date. For material changes, we will notify you via email or in-app banner at least 14 days in advance.
